Member System Upgrade & Transition

Over the coming months, the YMCA of Greater Brandywine will be transitioning to a new membership system designed to improve your experience and strengthen our technology infrastructure. 

Your membership and program participation will continue uninterrupted during this transition. 

As we move to the new system, you will notice updates to billing, account management and program registrations between May – August 2026. 

These improvements will allow us to provide a simpler, more flexible, and more seamless YMCA experience.
 

Key Timeline 

May – Data Migration Begins 
Member and program data will begin migrating to the new system. 

  • During this time, members may experience short periods of process changes as information is transferred.

June – Membership System Transition 
Membership accounts will transition into the new system. Members will receive communications via email regarding billing changes to their accounts. 

  • Billing Change: Membership billing will move to the first of each month beginning on 7/1/26 
  • Prorated June Draft: To align billing cycles, members will see a one-time prorated draft in June covering the period between their May membership draft and the new 7/1/26 billing date. 
  • Payment Update: Beginning 7/1/26, a credit card surcharge will apply to membership drafts. Members who wish to avoid this surcharge may update their payment method to ACH.

Summer Programs (June – August)
All summer programs will continue to operate in our current system (Active Net) through August. This includes summer camp, childcare programs, swimming lessons and youth programs. Membership discounts will continue to apply.

  • During this transition, individuals may have active accounts in two systems:
    • Traction Rec for Membership
    • Active Net for Summer Programs

July – Program Registration Transition 
Registration for Fall 2026 programs will open in the new system. A credit card surcharge fee will apply to all program based credit card transactions beginning 7/14. 

  • July 14 – Member registration opens 
  • July 28 – Guest registration opens

We’re upgrading to a new member management system to create a simpler, more flexible and more modern experience. The new system is called Traction Rec.  

This new system allows us to better integrate our technology, streamline processes and improve how you manage your membership, register for programs and stay connected to the Y.

The transition will take place between May and August 2026.

  • June 3: Membership system goes live  
  • July 14: Program registration moves to the new system  

Your membership and program participation will continue without interruption.

You may notice updates to billing, account access and registration, but your access to the Y will not be affected. 

Yes. You will be asked to create a new account beginning in early June.

  • Your email address on file will become your username  
  • You’ll create a new password when setting up your account  

We’ll send step-by-step instructions to guide you through the process. 

No. Your membership status and program registrations will remain intact.  

We are carefully migrating your information to ensure continuity. Some historical details may appear differently in the new system, but your active memberships and registrations will not be lost.

Program enrollments and registrations for summer 2026 will remain in the existing system through the completion of the summer session. Data will be migrated to the new system after programs have concluded. 

All member accounts will be impacted. Members will receive email messages with instructions and updates.

To ensure you receive this information:

  • Confirm your email and contact information are up to date
  • Check your inbox regularly for updates

To align all memberships to a new billing schedule, you will see a one-time prorated charge in June. This amount covers the time between your last billing date in May and the new billing date of July 1, when all memberships will move to the first of the month.

Beginning July 1, a small fee will apply to payments made by credit card. This helps ensure more resources go directly toward YMCA programs and services rather than processing fees.

You can avoid this fee by switching to ACH (bank draft) at any time.

You will still have access to your membership, but you may not be able to fully manage your account or register for programs until your new account is setup. 

We recommend completing setup on or as close to 6/3 as possible.
