Billing and Enrollment Information

Who do I contact if I have questions about my enrollment?

How do I update my billing information?

You can update your account online or contact our childcare administration team at childcareadmin@ymcagbw.org.

What is the cancellation/refund policy?

In order to cancel or withdraw from before and after-school enrichment or Kindergarten programs, please provide your location's director and childcare admin team 15 days written notice. Refunds will be credited to you if we close the program. If you have questions please don't hesitate to contact your director.

If you need to make changes to your registration, please fill out our Youth Program Change Form.

When do I need to provide payment for automatic drafts?

The person responsible for making payments on the account must provide a payment method, for automatic account drafts to occur weekly, starting two weeks prior to the first week of service.  Payments will continue through the school year weekly each Sunday.  

What are the deposit policies?

There is a $25 registration fee for all childcare programs. 

BASE Programs fee schedule is set up two weeks prior to the week of care, At the beginning of the school year, payments begin two weeks prior to the first week of care. Enrollments that take place after the school year begins will be on the same schedule of two weeks prior. A family who enrolls and is beginning care prior to a two-week time frame can expect to have two weeks of care charged to their account prior to starting programing.  This is a deposit for care and is not refundable.

We're currently enrolling priority registration for the 2023-2024 school year, which is for YGBW Before and After Care enrollees.

  • 5 days per week morning/ before school 
  • 5 days per week after school 
  • 5 days per week before and after school. 

Registration for all YGBW members opens on March 27 and for the community on April 3. You'll be able to register here.

Families who are looking to register for less than 5 days a week will be invited to register for their preferred days starting May 15.  The YMCA cannot guarantee that space for reduced days will be available. 

When I register it looks like payment is due for the whole year?

As you go through the registration process you will see the balance for the entire year. Please note that this balance is not due at the time of registration and that payments will be processed on a weekly basis. 

You will be charged for each week of care on the Sunday two weeks prior to the week of care. 
 

General Before and After School Information

What is the sign-in/sign-out procedure?

At pick up expect to speak with primary teachers about your child's day and share any updates to their schedule so we can provide the best possible quality care.       

  • A sign-in/out area will be available when you arrive at the site.
  • Photo identification could be checked daily. 

How do you collect allergies, medical information and emergency contacts?

All registered families will be provided with a link to ePACT, our HIPPA-Compliant system for managing medical information and emergency contacts, prior to the start of care. Information provided to ePACT is owned by you and our staff will be provided access while your child(red) are in our program. Parents can update their forms and information in ePACT at any time throughout the year. 

Note: EPact must be completed prior to a child starting in care. This is for the safety of your child.

Do you need to be a YMCA member in order to do before and after-school programs?

A YMCA membership is not required to participate in YMCA BASE programs.  Youth and non-members may register under the non-member registration page.  A family who joins the YMCA with a family membership at any point during the school year should email childcareadmin@ymcagbw.org to have their membership information updated in the system and to have the discounted rate applied to future payments in BASE. Please allow a two week period to have this rate applied from the time of form completion. New family memberships who also are registered for 5 day enrollment in BASE also receive a credit for their joiner fee which will be applied to tuition. 

Membership rates only apply while the family holds the required membership – 1 adult and child(ren), 2 adult and child(ren) or 3-4 adult and child(ren) membership. Should a family cancel membership or reduce membership the rate will no longer apply to BASE and a family can expect to see this change on subsequent billing weeks.

Monthly audits are performed to account for any changes in membership.  

Before and After School Enrichment (BASE) Discount Options

  • YGBW Members receive discounts on BASE programs.
     
  • CCW and ELRC are accepted at licensed care sites. A release form must be completed and signed to verify eligibility. Please reach out to Courtney Jeffers or Guillermina Rios
